Rules and Policies
- Use of any material in the Archives is subject to the approval of the
University Archivist.
- No archival document, nor any part of an archival document, may be
published or reproduced except by permission of the University Archivist.
- No person shall be allowed access to the stack area of the University
Archives and Special Collections except in the company of a member of the
Archives staff or by special permission of the University Archivist. Records
of the University are classified as closed access, and therefore may be used
only by special permission and in the Archives room.
- Smoking, eating, or drinking in the Archives reading room and the stack
area is forbidden.
- Archives material must not be marked, cut, torn, folded, soiled,
disarranged, or in any way damaged. Any accidents to records, or discovery
that material is out of order, should be reported at once to a member of the
Archives staff.
- Researchers may not remove any document or volume belonging to the
Archives except by express permission. Copying of any document or part
thereof will be done by the Archives staff.
Rules and Policies Governing the Use of Pictorial Material
Since pictorial materials, like manuscripts, are important
historical sources, they should be treated with the same care and respect that
one would give to 18th or 19th century holograph letters. In order that the
pictorial materials in our collections will survive for future researchers, will
you please observe the following rules in handling them:
- Do not bend, fold, write, or place any mark upon any pictures.
- Do not trace any pictures.
- When holding prints or negatives, etc., please do not smudge the pictures or the glass covering it; hold the print or negative by the edges.
- Do not slide the prints or negatives across each other or across any other surface; sliding can scratch the surface of the picture.
Published photographs and other pictorial materials hold
copyrights for 28 years, renewable for a second 28 year period. Unpublished
materials are protected by common law and normally may not be published without
the consent of the original photographer or his descendents. In some cases the
Archivist may grant the right to publish.
Responsibility for infringing upon copyright rests with the
researcher and not the Archives. The Archives staff will, however, assist the
researcher in obtaining the necessary permission to publish any pictorial
material in the collections.
If permission to publish is granted by the Archives &
Special Collections, the researcher for whom permission is granted must agree to
give published credit to the Archives & Special Collections by using one of
the following statements or a similarly appropriate one:
"Archives & Special Collections, Purdue University
Calumet" or "Hutton Collection, Archives & Special Collections,
Purdue University Calumet"
Reproductions or duplicating of any pictorial materials in
the Archives and Special Collections may not be done without specific
permission from the Archivist.
If prints or reproductions are provided by the Archives, it is to be
understood that they may not be reproduced again without specific permission
from the Archivist. It is also understood that any prints or reproductions
provided from the Archives & Special Collections are to be used for the sole
purpose indicated on the application.
The researcher will complete an Application for the Use of Photographs and
Other Pictorial Material listing name, date, address, type of material
requested, subjects or topics, and the purpose for which materials are
requested. A signature will be required to indicate that you have read and agree
to comply with the rules and policies of the Purdue University Calumet Archives
and Special Collections Office.
